
5 QuickBooks Online mistakes small business owners make (and how to fix them)
QuickBooks Online is powerful, but it only produces trustworthy numbers when it is set up and maintained with discipline. After years of cleaning up QBO files for growing businesses, the same handful of mistakes shows up again and again. The good news: every one of them is fixable in an afternoon, and preventable with a simple weekly habit.
1. Banking feeds treated as bookkeeping
Accepting everything the bank feed suggests is not bookkeeping — it is data entry on autopilot. QBO guesses categories from history, and a wrong guess made in January quietly skews every report that follows. Instead, review each transaction before adding it: confirm the vendor, the category, and whether it belongs to the business at all.
2. Miscellaneous and uncategorized piles
Every transaction parked in Miscellaneous or Uncategorized is a decision postponed. Those buckets grow fast, and at year end nobody remembers what a $412 debit from four months ago was. A useful rule: nothing lives in an uncategorized account for more than seven days.
3. Ignoring reconciliation alerts
Reconciliation is how you prove your books match your bank. When QBO warns that an account has not been reconciled, that warning deserves attention the same week — not at tax time. Reconciling monthly, while the statements are fresh, takes minutes; untangling six months of drift takes days.
4. Mixing personal and business spending
Personal charges on a business card (and the reverse) create a trail of owner transactions that has to be separated later. If a slip happens, record it immediately as an owner contribution or distribution so the P&L stays clean.
5. No month-end close routine
A short, repeatable month-end checklist is what separates books you can trust from books you hope are right. It does not need to be elaborate:
- Reconcile every bank and credit card account.
- Review the Uncategorized Expense and Income accounts — they should be empty.
- Scan the P&L and balance sheet for anything that looks different from last month.
- Confirm payroll filings and sales tax payments cleared.
Clean books are not a year-end project. They are the residue of small, weekly disciplines.
